I am seeking an organized and detail oriented administrative support person to help systematize my small but busy healthcare practice in Bend, Oregon. This role focuses on consolidating scattered processes, managing small but essential administrative tasks, keeping routine items on my radar, and helping build a clear policies and procedures structure for us to reference. You will not be doing medical billing, coding, or scheduling. This position is strictly administrative and supports the executive function of a practice owner who is also the primary provider.
This part time role begins at approximately 2 hours per day, 4 days per week, for about one month. After the initial setup period, the job shifts into less hours of ongoing maintenance with a weekly task list that can be completed in 2-4 hours per week, more during busier months or when onboarding new providers. The schedule is flexible as long as tasks are completed reliably.
I do communicate directly and clearly and I need someone who appreciates that style, follows up with me when they do not hear back, and can take tasks off my plate so I can stay focused on clinical work and practice growth.
I started this practice 4.5 years ago with just myself. The 3 staff members who joined me early on are all still here and have stayed for 4, 3, and 2 years. If you want to be part of a small team with a high level of autonomy, and you’re comfortable with some level of learning-as-you-go this role offers independence and minimal oversight with the expectation that tasks are completed fully and accurately in order to keep the position.
⭐️ Examples of tasks for this role:
- Document processes currently held with updates that live only in the minds of providers
- Confirm monthly email request that update our basic contact information and hours of operation
- Maintain employee files for CE tracking and license renewals to alert employees when expirations are approaching.
- Return calls, emails, or faxes seeking confirmations or data entry
- Send surveys, collect and organize responses
- Maintain log in informations across various platforms
- Contact vendors to re-order clinic supplies
- Track and follow up on shipment and delivery issues
- File paperwork with local and state agencies that are time sensitive
⭐️ Schedule:
This position is mostly virtual with flexible hours from home.
Applicants will be required to have availability up to two hours per day, 4 days a week, between 9 AM and 3 PM.
This position is open to candidates living anywhere who can reliably commute to Bend for an in-person interview and ongoing availability to meet in person once a month.

$25 per hour, non benefitted contractor

- HIPAA Training Certification
- Business Associate Agreement
- Working knowledge of Google Drive
- Ability to create a payroll company profile for contractor payment
- Strong organizational skills and consistent follow through
- Reliable communication and comfort with direct instructions
- Capacity to work independently with minimal oversight
- Competence with email, basic document creation, and online forms
- Professionalism when contacting vendors, providers, and service companies
- Ability to maintain confidentiality and handle sensitive information
- Access to a quiet workspace and reliable internet
- Availability to commute to Bend for an in person interview and one short monthly in-clinic day
- Reliable time use with respect for agreed upon work hours
